The United States Department of Education (ED) requires all 21st CCLC subgrantees to enter Summer and Academic Term data for submission to the U.S. Congress.  The data collection application (21st CCLC APR) is available in the Arizona Department of Education (ADE) Connect portal.

EMAC is an application in the ADE Connect portal and is used to collect state-level 21st CCLC reporting documentation.  

All EMAC users should be assigned to the 21st CCLC State Level Programmatic Reporting monitoring program. 

The following reports should be submitted through this monitoring program in EMAC: 

  • Program At-A-Glance (PAG)
  • Summary of Classes I and II (SOC)
  • Site Evaluation Report

 

Additionally, all EMAC users who will receive a Site Monitoring Visit will need to be assigned to the 21st CCLC Site Monitoring Visit monitoring program. 

This monitoring program includes the tasks where you will submit evidence, as requested by your Education Program Specialist. 

Please refer to the EMAC User Guide or the Exploring EMAC Module for directions on access and assignment in EMAC.

Exploring EMAC Module

This training is for 21st CCLC site leaders NEW to using the EMAC application and will focus on the basic functions of EMAC. It will include the necessary tools, directions, and initial steps to assist sites in completing the state-level programmatic monitoring and reporting requirements for the 21st CCLC in EMAC.

This training will provide all 21st CCLC site leaders with the information necessary to complete and submit the online forms for the 21st CCLC Site Evaluation Report in the EMAC under the 21st CCLC State Level Programmatic Reporting monitoring program.

Program At-A-Glance (PAG) - annually 

All Arizona subgrantees must submit an annual Program-At-A-Glance (PAG) report.  This report is an overview of the program objectives from the originally awarded grant application.  Any changes from the original application must be approved by the Arizona Department of Education in the Grants Management Enterprise (GME) system before they become official.  

This document should be kept readily available with the required records.  Subgrantees are encouraged to use this report as a tool to communicate with stakeholders the purpose and objective of their 21st CCLC grant. 

The Program At-A-Glance report will be completed as an online form in EMAC, by the due date on the reporting calendar. 

This report is submitted through EMAC, please refer to the EMAC Tab for more guidance on PAG/SOC/Site Evaluation reporting. 

Summary of Classes (SOC) Report-bi-annually

All Arizona 21st CCLC subgrantees must submit a Summary of Classes (SOC) Report twice a year via EMAC.  This report provides a snapshot of recent 21st CCLC program activities and the number of students served.  

This report is submitted through EMAC, please refer to the EMAC Tab for more guidance on PAG/SOC/Site Evaluation reporting. 

Site Evaluation Report - annually

All Arizona 21st CCLC subgrantees must submit an annual Site Evaluation Report which assesses their own compliance with grant requirements and the strength of their program’s impact on their own 21st CCLC grant objectives.  Results should be made available to the public upon request.

The Site Evaluation report can be used as a continuous improvement planning tool to monitor and discuss progress on grant objectives throughout the year. 

This report is submitted through EMAC, please refer to the EMAC Tab for more guidance on PAG/SOC/Site Evaluation reporting. 

Student Attendance-weekly

All Arizona 21st CCLC subgrantees must submit student-level attendance data into each site’s Student Information System (SIS) on a weekly basis.  As a reminder student-level data should never be shared via EMAIL as it is a Family Educational Rights & Privacy Act (FERPA) violation.  Please read the Student Attendance Guidance to understand how best to set up and enter attendance data into your SIS.
